SUMMARY

The Client Services Coordinator will support sponsor relationships for Summerfest and events produced by Milwaukee World Festival, Inc. Providing expert customer service and administrative support for sponsors and partners by coordinating promotions, signage, ticketing and advertising deliverables. The role will also administer the Sales & Marketing Department’s annual budget.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Support sponsorship sales efforts, assisting with proposal management, contracting, and fulfilment and reporting processes.

Participate in regular meetings with event sponsors, developing rapport and servicing sponsors’ activation plans. Manage sponsor deliverables and fulfillment for Summerfest and all MWF events, serving as liaison between MWF departments and sponsors.

Support the on-site execution of sponsorships and related programming. Specifically, coordinate sponsorships, including free admission programs, sampling, signage, display areas, VIP hospitality.

Manage admission ticket and other passes for sponsorships, media partners and media trades.

Provide daily management of Sales & Marketing budget, including entering invoices, reconciliation and reporting.

Coordinate contract process, invoicing and payment collection.

Support the collection of data and development for post-event recaps for sponsor and mobile marketing programs.

With direction from the Senior Director, track sales team metrics.


EDUCATION, EXPERIENCE and QUALIFICATIONS

Required:



Two - four years of relevant experience in a related field

A bachelor’s degree, or higher, from an accredited college or university

A positive, “can-do” attitude with a high level of customer service

Excellent verbal and written skills with the ability to communicate organizational vision

Well-developed project management skills, organizational skills, time management skills and strong attention to detail

Ability to prioritize and manage multiple tasks/projects

Ability to foster trust and open/honest communication with internal teams, partners and clients

Ability to work a flexible schedule including evenings, weekends, holidays and overtime

Ability to consistently and professionally represent the company

Ability to build and maintain cordial relationships with clients, peers and people at all levels, using diplomacy, judgment and interpersonal skills

An affinity for music, the performing arts and events is helpful

Strong knowledge of the following: Microsoft Outlook, Excel, Power Point and Word


Preferred:



Experience in a sales organization

Working knowledge in sponsorships, events, promotions and corporate hospitality and ticketing programs

Active interest in social media / digital communication

Knowledge in Adobe Acrobat Pro

The work environment characteristics described here are representative of those an associate encounters while performing the essential functions of this job. Typically this includes a climate-controlled, low to moderate noise environment, however Milwaukee World Festival, Inc., is the owner and producer of outdoor events, so the job may include activity outdoors during the summer months. This position may also be exposed to certain risks or hazards that are typically associated with an outdoor public venue.
